Privacy Policy
Nantan City (hereinafter referred to as "the City") may handle personal information of customers and other individuals (hereinafter referred to as "customers, etc.") when providing information and other services to customers using the City's services.
The City deeply recognizes the importance of protecting the personal information of its customers and others, believing that sound relationships with them cannot be maintained without such protection. To further build trust with our customers and others, the City hereby establishes the following Privacy Policy (Basic Policy on Personal Information Protection; hereinafter referred to as "this Policy").
1. In this policy, "personal information" refers to "personal information" as defined in the Act on the Protection of Personal Information (Act No. 57 of 2003, hereinafter referred to as the "Personal Information Protection Act"). It means information about a living individual that can identify a specific individual through the name, date of birth, or other descriptions contained in such information, or that includes a personal identification code.
2. Our city will collect and use the personal information of customers and others for the following purposes.
- (1) To provide personal information obtained through reservations, inquiries, and other communications to the lodging facility.
- (2) To build a tourism DMP (Data Management Platform) that integrates information on lodging travelers and others in the Nantan City, Kyoto Prefecture (hereinafter referred to as "Nantan City") area.
- (3) For the marketing activities of the city's tourism industry as a whole
- (4) To implement the City's programs and services (hereinafter referred to as "the Services, etc.").
- (5) To improve and enhance the content of this service and other services, or to develop new businesses and services.
- (6) To provide information about updates to this service, campaigns, and other services offered by the city (including sending emails, flyers, and other direct mail).
- (7) To contact you as necessary regarding maintenance, important notices, etc.
- (8) To respond to your opinions, inquiries, etc., regarding this service (including performing identity verification).
- (9) To report usage status of this service and other services to customers and other parties
- (10) To request your cooperation in surveys, interviews, or other inquiries regarding this service, to invite you to participate in various events, or to report the results thereof.
- (11) To investigate and analyze usage history and other data related to this service, and to use the results for improving and developing this service and for advertising purposes.
- (12) Providing personal information to participating businesses and other entities for events hosted by the City based on the consent or application of customers and others.
- (13) To identify users attempting to use this service or other services for fraudulent or improper purposes and to deny them access.
3. The City will not provide customers' personal information to third parties without consent, except in the following cases:
- (1) When necessary to protect human life, physical safety, or property, and obtaining consent from the customer or other relevant party is difficult.
- (2) When it is particularly necessary for the improvement of public health or the promotion of the sound development of children, and it is difficult to obtain the consent of customers or other parties.
- (3) When cooperation is necessary for a national agency, local government, or their entrusted agent to perform duties prescribed by law, and obtaining consent from customers or others could potentially hinder the performance of such duties.
- (4) Other cases permitted by law.
4. The City may entrust the handling of all or part of personal information to third parties within the scope necessary to achieve the purpose of use. In such cases, the City will thoroughly review the suitability of the entrusted party, stipulate matters concerning confidentiality obligations in the contract, and exercise necessary and appropriate supervision over the entrusted party.
5. The City may share personal information of customers and others within the following scope and for the following purposes.
〈Purpose of Joint Use〉
- (1) To build a tourism data management platform (DMP) that integrates information on lodging travelers and others in the Nantan City area of Kyoto Prefecture.
- (2) For marketing activities related to the tourism industry (including lodging facilities) in the Miyama Town area.
〈Scope of Shared Personal Information〉
Name, address, gender, date of birth, phone number, email address, travel purpose, accommodation fee, fee plan name, and other personal information provided to the city.
〈Scope of Joint Users〉
- Businesses operating lodging facilities within the area
- Businesses providing experiences and other services within the area
- Partner Companies in Data Management Operations (Entities Responsible for Personal Information Management)

6. Customers and others may request the City to disclose, correct, suspend the use of, or take other actions regarding personal information held by the City (hereinafter referred to as "disclosure, etc."). Upon receiving such a request, the City will conduct necessary investigations. If the City determines the request is justified based on the results, it will disclose, etc., the relevant personal information.However, disclosure may be withheld or alternative measures may be taken in cases permitted by law. When requesting disclosure, etc., please prepare documents separately designated by the City (such as a driver's license) to confirm your identity. No fees or charges are required for requesting disclosure, etc., of personal information.

8. The City shall comply with all laws, regulations, and other norms concerning the handling of personal information of customers and others.
9. The City shall strive to prevent risks such as leakage, falsification, or loss of personal information pertaining to customers and others by implementing organizational, physical, human, and technical measures. These include restricting access to personal information files, recording access logs, and implementing security measures to prevent unauthorized external access.In the event of an incident such as a leak of personal information, the City will promptly report to the supervising government agency in accordance with the Personal Information Protection Act and related guidelines. The City will also take necessary actions, including implementing measures to prevent similar incidents and recurrence prevention measures, in accordance with the instructions of the relevant supervising government agency.
10. The City will continuously strive to improve its handling of personal information. The contents of this policy may be changed, except as otherwise provided by law or this policy. The revised Privacy Policy shall take effect upon its posting on the City's website.
